UNP advances digital transformation with training on Document Tracking System

The University of Northern Philippines has taken a decisive step toward a fully digital administrative environment as the Information and Communications Technology Office (ICTO), in partnership with the Office of the President and the Office of the Vice President for Finance and Administration, conducted a university-wide training on the Digital Workflow and Document Tracking System (DTS) on January 30, 2026.

Designed to replace the long-standing reliance on paper-based processes, the initiative reflects UNP’s commitment to efficiency, transparency, and modern governance.

“This shift to the Document Tracking System is not merely a technical upgrade—it represents a more transparent and responsive university,” said UNP President Dr. Erwin F. Cadorna. “By embracing this digital transformation, we affirm that excellence in service is not an aspiration but the daily standard in how we work with our stakeholders. We are creating a UNP that moves at the pace of tomorrow.”

Developed by Dr. Mariano Romano, the DTS is currently being integrated into the University’s existing Records Management (RM) System with the assistance of BSTech Solutions, UNP’s RM System provider. During the training, Dr. Romano also served as the main resource person, thoroughly discussing the features, workflow, and advantages of the system to ensure that participants gained a clear understanding of its functions and purpose.

The deployment and hosting of the system were made possible through the ICTO’s technical team led by Dr. Richard Arruejo, Head of Information Systems Development and Security, and Mr. Joseph Padua, ICTO Officer-in-Charge and Head of the ICT Maintenance Office.

The training gathered all process owners across the university, along with their clerks and staff, ensuring that every office involved in the flow of documents would be fully equipped for the transition to digital operations. Proceedings were facilitated by Mr. Karl Loix Robiñol, Information Systems Analyst I, who emphasized achieving functional mastery—empowering employees not only to use the system but to navigate a faster, more efficient digital workflow with confidence.

Participants actively engaged during the open forum, raising questions, sharing insights, and clarifying system processes, demonstrating the university community’s readiness to embrace the shift to digital operations.

Now fully integrated, the DTS enables documents to move from point of origin to final action in minutes, replacing years of manual delays, backlogs, and missing files with real-time accountability and actionable clarity. With this development, UNP continues to advance its strategic direction toward a digitally empowered university, strengthening its service delivery and institutional efficiency.
